Guidance for On-site Participants
from Outside Japan

To the best knowledge of the Society of Automotive Engineers of Japan (JSAE), the following information about requirements for non-Japanese people wishing to enter Japan is up-to-date as of the date of disclosure. Please note that governmental measures related to COVID-19 are subject to change without notice. Before entering Japan, please obtain the latest information from the Japanese Embassy or Consulate General in your country of origin.

1. Support Provided by the JSAE

The Japanese government requires all non-Japanese people to have the correct visa before entering Japan. Visa applications require the receiving organization inside Japan to prepare several items of documentation.

The scope of this support is limited to presenting authors and co-authors at this Congress. The JSAE may serve as the receiving organization only when a presenting author or co-author does not have another suitable receiving organization in Japan. If a presenting author or co-author has a more suitable receiving organization in Japan, the JSAE may refuse to act as the receiving organization.

The JSAE requires presenting authors or co-authors wishing to physically participate in an event to submit the following application form. After receiving this form, the JSAE will provide the applicants with the documentation required for the visa application that the receiving organization is obliged to prepare.

2. Responsibilities of On-Site Participants from Outside Japan

In addition to obtaining a visa, the Japanese government requires all non-Japanese people wishing to enter Japan to carry out various procedures. Non-Japanese people wishing to enter Japan must obtain the information about these procedures from the Japanese Embassy or Consulate General in your country of origin.

The following may be used as reference information. However, please understand that the JSAE is not responsible for the accuracy of this information.

The following items must be carried before leaving your country of origin, when entering Japan, and while staying in Japan.

  1. Before departure: obtain the correct visa.
  2. Immigration process: submit the specified documents, including certification of a negative test result for COVID-19, and install the specified app on a mobile device.

  3. While staying in Japan: if required, self-isolate in your hotel (refrain from going outside). Operate the app daily. The requirement for self-isolation in your hotel or the like and the self-isolation duration will differ depending on the designation of your country of residence, and on your vaccination status.
